Finance > Reporting > FAST > Dashboards > Grants **Purpose and Scope of this Guide** As mentioned previously, the Financial Reporting Team has been hard at work creating Dashboards that make it easier to understand your financial data and find the answers you need. **This guide focuses specifically on the Grants Dashboard**, which is specifically designed to help Grant Accounting staff and Principal Investigators (PIs)to monitor the financial health of their grant funds—from project inception to date. Prerequisites/ You'll need: - access to the FAST Finance Reporting module - to be in the *'All Finance Users'* group in FAST in order to view the Dashboard See the [Accessing FAST Modules](https://scribehow.com/shared/Access_a_specific_module_in_FAST__lQKGXORkTBeSv-ZkBrGiwQ) guide for more details. Log in to FAST and select the Finance Reporting module from the navigation menu on the left. Once inside the Finance Module, click the "Dashboard" tab

From this screen you'll see all the dashboards available to you in the Finance Reporting module (shown in red below). Click the 'Grant Dashboard' tab.\ \ The Grant Dashboard brings together budget, payroll, spending, billing, and payment data from across multiple sources—giving you a centralized view of how your grant index is performing both month-to-month and over the life of the grant. A few things to know upfront: - This dashboard only displays data for a **single** index and a **single** month at a time. If you'd like to see more than this, click the report's title to open the **full** 'source' report. - You must select both an **Index** and a **Month** to load data. - **Fund**, **Org**, and **Program** auto-fill based on the selected Index. Below you'll find explanations of each report block and how the information it displays can assist you.

**'Drill down' Layout** As with the AD Dashboard, the report blocks in this dashboard (with a few exceptions) are arranged in order of detail from general to specific; starting with summarized, account-level information and getting progressively more granular as you move down the page, ending with individual, transaction-level details. This layout gives you the flexibility to view the most relevant, high-level budget info right up front or dig deeper as needed.

**Project to Date – Fund** This report shows all accounts belonging to the selected index, their budgets, and spending totals for the selected month, current fiscal year, and lifetime of the grant, with a total account balance at the end. - **Total Budget**: Total budget allocated as of the selected month. - **Month Actual**: Spending activity that occurred during the selected month. - **YTD (Year to Date) Actual**: the amount spent since the beginning of the fiscal year (July of last year). - **Project Actuals**: total spent over the entire life of the grant/project. - **O/S (Outstanding) Commitments**: the amount that has been set aside for future expenses (e.g., purchase orders, contracts) but have not been spent yet. - **Budget Balance**: Remaining budget after subtracting actuals and commitments. *Budget remaining = Total Budget - (Project Actuals + O/S Commitments)* - **Project Fav/Unfav:** what **percent** of the total budget has been spent. Shows 'F' for “Favorable” or 'U' for “Unfavorable” based on whether spending is under or over budget

**Index-level Views of Fund-level Reports** Several reports include “Fund” in their title because that’s the title of the **full report** they’re pulling from. However, since the **Index** filter is required, the *views* of those reports in the Dashboard only display data for the **single,** selected index, **not** the full Fund.

**Dashboard Payroll Budget – Fund** This report breaks down payroll-related budget and spending by account and employee for the selected index and month. It allows you to confirm who is being paid from the index, check payroll charges, and monitor remaining payroll funds. Helpful columns include: - **Original Budget**: Initial payroll budget for the position/employee. - **Adjusted Budget**: Updated budget reflecting any changes (e.g., reallocation, corrections). - **Actuals**: what has been paid for the selected month. - **OS Commitment**: Projected payroll expenses (encumbrances) for the rest of the fiscal year. - **$ Budget Available**: Remaining payroll funds available after actuals and commitments.

**Dashboard Actual P/R by Month - Fund** This block is similar to the Payroll Budget report in that it shows payroll activity for the selected index, grouped by account and employee—but here, the data is broken out by month across the current fiscal year. This can be helpful for spotting trends or irregularities from month to month or across seasons/semesters. **Note:** The report includes one column for each month (July–June). Depending on your screen size, you may need to scroll horizontally to view all columns

**P-card History Detail** This report shows details for individual P-Card transactions charged to the selected index for a particular month. Potential uses include reviewing who purchased what and when, reconciling transactions, verifying that charges posted to the correct accounts, and tracking down supporting documentation. **Notes on select columns:** - **Dr Cr Ind:** Debit or Credit Indicator - Expenses show as “D” (Debit) - Returns or corrections show as “C” (Credit) - **Fzrphis Gurfeed Date:** the date the transaction posted to Banner - **Fzrphis Trans Date:** the **actual** date the transaction occurred - **Doc Code:** the ID for the 'bundle' of transactions that came over from Bank of America. Use this number to find the batch of transactions in Banner. - **Fzrphis Trans ID:** the ID of the transaction in Bank of America’s system

### Billings vs Payments This section shows billing and payment activity for the selected index up through the selected month. It reflects invoices sent to granting agencies and their corresponding payments received—This helps users gauge how current a grant is, both in invoicing and in receiving payments. - **Grant Dashboard - Payments**: dates of payments received and their amounts - **Grant Dashboard - Bills:** table of billing transactions, their dates and amounts - **Bar Chart (Bill vs Payments)**: visual comparison of total billed vs total paid The Trial Balance with Trend report below shows how these billed and paid amounts are distributed across individual accounts, over the fiscal year

**Grant Dashboard - Trial Balance with Trend** This report shows a trial balance for all accounts tied to the selected index, including year-to-date totals, previous month comparison, and a breakdown of financial activity by fiscal quarter. - **YTD (Year to Date) Actuals**: total spending recorded for the current fiscal year. - **Previous Month**: activity for the prior month only. - **FY Q1–Q4 Actuals**: Quarterly totals for the current fiscal year. This view can help you identify patterns or inconsistencies by comparing activity across months and quarters.

**Grant Dashboard - Balance Sheet** A 'SONP' (Statement of Net Position) is a 'financial snapshot' that shows what an index *owns* (assets), *owes* (liabilities), and the remaining *net position* (similar to equity) at a specific point in time—in essence, a Balance Sheet. This report compares balance sheet accounts for the selected index between the current and prior years, helping users quickly identify changes. **Notes on select columns:** - **(selected month) Current Year**: Ending balance for each account as of the selected month - **(selected month) Prior Year**: Ending balance for each account as of the same month in the previous year - **SONP Variance**: This column shows the difference between the current and prior year's Statement of Net Position.
